Terms of Teaching, Payments & Student Policies

These Terms & Policies apply to teaching, educational services, assessments, workshops, courses and other services provided by Neurogenetics Institute and its educational divisions.

By submitting an application, booking an assessment, enrolling in a programme, booking teaching, or making a payment, the parent, guardian or student confirms that they have read and accepted these Terms & Policies.

1. Enrolment & Acceptance

All applications and enrolments are subject to acceptance by Neurogenetics Institute.

Submission of an application does not automatically guarantee a place. The Institute may consider the student’s age, academic level, subjects, learning requirements, availability and suitability of the programme before confirming enrolment.

The Institute may also require an assessment before teaching or a programme begins.

Enrolment remains subject to the Institute’s current academic, safeguarding, attendance, conduct and operational policies.

2. Fees & Payments

All teaching and programme fees must be paid according to the payment schedule agreed at the time of enrolment.

Where teaching is provided on a monthly basis, the monthly fee reserves the student’s place within the programme and covers the agreed teaching provision for that month. It is not calculated simply as a payment for individual lessons attended.

ALL PAYMENTS ARE NON-REFUNDABLE BY DEFAULT. A payment is refundable only where the applicable terms explicitly state that that specific payment, deposit, fee or charge is refundable. The fact that a payment is not expressly described as non-refundable does not make it refundable.

This default applies to every payment made to the Institute, unless explicitly stated otherwise in the applicable terms: all teaching payments; all Academy / Online Private School payments; all 1-to-1 teaching payments; all assessment fees; all workshop and course payments; and all other Institute service and product payments.

Requesting a refund does not convert an ordinary payment into a refundable one. “Refund” does not mean that a payment becomes refundable because a customer asks for it after the fact.

By way of example, and without limiting the rule above, a student or parent cannot request a refund because of:

Any refundable deposit, where specifically stated to be refundable, will be governed by the separate terms applying to that deposit.

3. The £100 Refundable Deposit

The £100 refundable deposit is paid before the student’s assessment and enrolment process, where applicable. It is a refundable deposit, not a teaching payment, and it is separate from all teaching and programme fees.

The deposit is refundable subject to the student remaining enrolled and attending the full agreed academic year in accordance with the Institute’s enrolment terms. Where that condition is met, the deposit is refunded in accordance with the Institute’s Terms & Policies.

If the student withdraws, cancels, or leaves before completing the agreed academic year, the deposit may not be refundable. The deposit is not automatically refundable immediately upon request: the exact circumstances in which it is refunded are governed by the Institute’s enrolment terms and these Terms & Policies.

4. Monthly Teaching

Monthly teaching is arranged as an ongoing educational service.

A monthly payment secures the student’s agreed programme, timetable and teaching provision for the relevant billing period. The Institute allocates teaching time, resources and staff on the basis of the student’s enrolment.

Parents and students should therefore treat the monthly payment as a commitment to the agreed teaching period rather than as a pay-as-you-go lesson balance.

Where a programme has a minimum commitment or notice period, this will be communicated before enrolment.

5. Cancelling Teaching

If a parent or student wishes to cancel or discontinue teaching, at least 48 hours’ written notice must be provided.

Notice should be sent through the official communication method provided by the Institute.

Where sufficient notice is not provided, the scheduled lesson or relevant teaching charge may remain payable.

Cancellation of an individual lesson does not automatically cancel the student’s overall enrolment or monthly teaching arrangement.

A parent wishing to end ongoing teaching should clearly state that they are requesting cancellation of the student’s programme.

6. Missed Lessons & Late Cancellations

Students are expected to attend lessons at the agreed time.

If a student does not attend a scheduled lesson without providing the required notice, the lesson is treated as a missed lesson and the relevant payment is non-refundable.

Where a student arrives late, the lesson will normally still finish at the originally scheduled time. Additional teaching time is not guaranteed.

The Institute may, at its discretion, provide a replacement lesson or alternative arrangement in exceptional circumstances. Such arrangements are discretionary and should not be considered an automatic entitlement.

7. Institute Cancellations

If Neurogenetics Institute needs to cancel a lesson, the Institute will normally provide reasonable notice and, where appropriate, arrange a replacement lesson or alternative provision.

If the Institute is unable to provide the agreed service, any remedy or refund will be considered in accordance with the circumstances and applicable law.

8. Timetables & Teacher Allocation

Lesson times are agreed between the Institute and the parent/student.

The Institute may need to make reasonable timetable adjustments because of teacher availability, academic requirements, holidays, technical issues or other operational circumstances.

The Institute may also change the teacher assigned to a student where necessary.

Such changes do not automatically entitle the student or parent to a refund.

9. Online Lessons & Technology

Where teaching is delivered online, the student and parent are responsible for having suitable:

Technical problems on the student’s side do not normally constitute grounds for a refund.

The Institute will make reasonable efforts to resolve technical issues within its own systems.

10. Lesson Recordings & Educational Materials

Where lessons are recorded, recordings may be made available to the enrolled student for educational and revision purposes.

Recordings, lesson materials, worksheets, resources, presentations and other educational content supplied by the Institute remain the intellectual property of the Institute or its relevant rights holders unless otherwise stated.

They may not be redistributed, commercially reproduced, uploaded publicly, sold or shared with individuals who are not enrolled or authorised by the Institute.

11. Academic Progress

Neurogenetics Institute provides educational instruction, assessment and academic support. However, the Institute does not guarantee a particular examination grade, qualification result, university admission outcome or other academic result.

Academic progress depends on multiple factors, including attendance, independent study, prior attainment, engagement, consistency and examination requirements.

Assessments and academic recommendations are intended to support educational planning and should not be interpreted as guarantees of future performance.

12. Student Conduct

Students are expected to behave respectfully towards teachers, staff and other students.

The Institute does not permit abusive, threatening, discriminatory, disruptive or inappropriate behaviour.

Where serious or repeated conduct concerns arise, the Institute may take appropriate action, including suspension or termination of teaching.

Parents and students are expected to communicate with staff respectfully and through appropriate channels.

13. Safeguarding & Student Welfare

The safety and welfare of students is a priority.

The Institute may take appropriate action where a safeguarding, welfare or serious conduct concern arises.

Parents and guardians must provide accurate information relevant to the student’s enrolment and notify the Institute of any significant information that may affect the student’s participation in lessons.

14. Changes to Services & Policies

Neurogenetics Institute may update its programmes, timetables, teaching arrangements, policies, resources and website information from time to time.

Where a change materially affects an existing student’s agreed teaching, the Institute will provide appropriate notice where reasonably possible.

The Terms & Policies applicable at the time of enrolment will continue to apply subject to any lawful updates or amendments communicated by the Institute.

15. Third-Party Platforms

Some Institute services may use third-party platforms or services, including payment providers, video-conferencing services, learning platforms and educational technology.

Use of these services may also be subject to the relevant third party’s own terms and privacy policies.

Neurogenetics Institute is not responsible for outages or failures caused solely by a third-party service provider, although reasonable efforts will be made to minimise disruption.

16. Payments Through Third-Party Providers

Payments may be processed through third-party payment providers.

The Institute does not receive or store full payment card details where payment processing is handled by an external payment provider.

Payment processing may therefore also be subject to the payment provider’s own terms and policies.

17. Privacy & Personal Information

Personal information collected during application, enrolment, assessment and teaching is handled in accordance with the Institute’s Privacy Policy.

18. Intellectual Property

The Institute’s website, educational resources, assessments, lesson materials, written content, designs, branding, systems and other original materials may be protected by intellectual property rights.

No material may be copied, reproduced, redistributed or commercially used without appropriate permission.

19. Website Use

Use of the Neurogenetics Institute website is subject to these Terms & Policies and any additional terms displayed on individual pages or services.

Information published on the website is provided for general educational and informational purposes and may be updated from time to time.

20. Subject to Institute Policies

All teaching, courses, assessments, workshops and educational services are subject to the policies and procedures of Neurogenetics Institute.

Where a specific service has additional terms, those terms will apply alongside these general Terms & Policies.

21. Legal Rights

Nothing in these Terms & Policies is intended to remove or restrict any legal rights that cannot lawfully be excluded or restricted.

Where applicable, statutory consumer rights continue to apply.

If any provision of these Terms & Policies is found to be invalid or unenforceable, the remaining provisions will continue to apply.
